Assignment profile is an object which is used to auto assign learning to users. You can create rules to filter out the target user group to whom the releavant training needs to be auto-assigned.
Pre-requisite: LMS Admin access to create Assignment Profile (AP) rule
: Target user group to whom the training is to be auto assigned - User data attributes
: Item id/Curricula Id/Program etc. of the training to be aito-assigned
Let's consider an example to auto assign Respect @ Work eLearning to all Full Time, Part Time and Casual employee hired on or after 01.01.2022 as well as to auto assign to Skout Solutions users hired on or after 01.01.2022.
Steps:
1. Go to Learning Administration --> Manage User Learning --> Assignment Profiles --> Add New
2. Enter Assignment Profile ID, description and click Add
3. Click Rules tab and select Security Domains dropdown button
4. Search and select Public domain
5. Now we have to Setup the Rules to filter out the target users. We need to create 2 groups as below
a. Full Time, Part Time and Casual employee hired on or after 01.01.2022
b. Skout Solutions users hired on or after 01.01.2022
Click Create Group under Setup Rules section
6. Enter group name
7. Now select the attributes ( Full Time, Part Time and Casual employee are updated in user master under the field "Emp Type". Hence selected Emp Type as attribute from the dropdown.
8. Select Operator
9. Select values of attribute - Emp Type
10. Now click Add Rule to add the condition for hired date
11. We have test admin users created with contract name System admin users. We can exlude from assigning the training as they are not the live users. Hence click one more time on Add Rule and add below condition
This completes creating first group.
12. Now let's create Group 2
Click Create Group
Follow the same process as creating Group 1 to select attributes, operators and values. Skout solutions users are identified in system by Job Code Id = Skout Solutions (20001629)
13. Click Save
14. Click Download Preview Users to download the users that will be filtered out for our set rules. This helps in validating our rules to know if we have selected the correct attributes to filter out target users to whom training will be auto assigned.
15. Once you verify and confirm the rules, you can now add item Id of Respect @ Work eLearning. For this click Items tab
16. Click Add Items
17. Search Item Id
18. Select the item Id and click Add
19. In order to auto assign the training to selected target user groups, click "Execute Changes" action under Actions tab
20. It will schedule a job. Click "Finish" to run the job.
21. Once job is executed successfully, you should see the success message in green.
22. To verify if the learning is assigned to target users successfully, you can run Learning Needs report
