How to run Curricula Data report in SF LMS

The Curriculum Data Report returns curricula attributes, including the subcurricula in the curriculum.  You would run this report to analyse the contents within a curricula and the content attributes to ensure the curricula is set up correctly or identify content updates.


Prerequisite:

  • LMS Admin access
  • Reports access in LMS Admin
  • Curricula ID's you want to report on

Steps:

  1. Log in to HR Central and go to Learning Administration from Home menu.



    Then go to Reports


  2. On the search panel type "Curricula" and click on "Search"



  3. On the "Curriculum Data " report, click on the + symbol to expand it



  4. Click on the "Curriculum Data (CSV)" option



  5. Select report filters depending on your requirements:


1. Filter by specific Curriculum

  1. Click on the  image next to the "Curriculum" field. 



  2. Search for the Curriculum that you wish to report on by using a search criteria like "Curriculum ID" or "Curriculum Title" and click on "Search".



  3. Once you locate the curricula you require to add to the filter, tick the box under "Select" and click on "Add to Filter".  If you have more curricula to add to filter query click on "Search Again", if not click on "Submit Filter".


2. Select Curriculum Status

  1. Choose if you want to report on "Active", "Not Active" or "Both" statuses.  (Default is "Active")



3. Filter Requirement Type

(This is optional, and only required if you want to report on a specific requirement type)



4. Tick to Include Subcurricula

Include this option if you want to include subcurricula attached to curricula, if you are unsure if your curricula has subcurricula tick it any way.



5. Save the Report

(This is optional - save the report if you wish to run these filter settings again in the future)

  1. Enter a report id (can't use one you have used before must be unique), and add a description.

  2. Click on Submit when done


  3. Report is now accessible in "Saved Reports"



  4. To access this report again in future once you are in Learning Administration click on "Reports" and click on the "Saved" Reports Tab



  5. Click on "Actions" to launch the saved report


  6. Filters will be saved from previous selections

7. Schedule the Report


  1. Click on the "Schedule Job" button



  2. Option 1 "Run Report Immediately, if allowable" this is always the default option.  When running the report immediately you can tick to have the report sent to you in an attachment, tick this box, it is the easier option, then click on "Finish"




  3. Option 2 Select "Schedule this job to be executed on" - this is a good option if you don't want it run now, but maybe at a certain date or time.  Enter a date and time. When running the report on schedule you can tick to have the report sent to you in an attachment, tick this box, it is the easier option, then click on "Finish"


  4. Option 3 "Schedule this job to recur as follows" this is a good option if you don't want it run now, but need the report to run daily, weekly or monthly and don't want to come back into the system to run it manually. Enter the frequency, time of day, time zone as required. When running the report on schedule you can tick to have the report sent to you in an attachment, tick this box, it is the easier option, then click on "Finish"

Report will be emailed to you as a CSV file depending on what option you selected in the schedule.

Open the report and perform your analysis


You will see in the data there will be a row item for each item associated to the curriculum id.
