I want to modify existing item attributes


Once an item is created, it is not possible to modify Item Id, Item Type and Revision Date/Time fields of existing Item.

Attributes other than above mentioned fields can be modified. However you need to ensure that this existing item is not getting used by any other business/contracts as there are many common items getting used across various business/contracts. For updating the attributes, raise a request to HR systems Team through https://desk.zoho.com/portal/broadspectrumhrs/newticket and fill the attached template highlighting the fields where you need the changes.

If there is requirement to change Item Id and/or Item Type there is no other option but to create a new Item with required Item Id and/or Item Type and deactivate old Item if it is not getting used by other business.

There are many activities associated with creating new Item Id and/or Item Type to replace existing one. Follow below steps:

Preparation: You should have LMS administration access.
  1. Run 'Learning Plan' report to investigate whether existing item has been assigned to users in their learning plan or updated in learning history if the course has been completed by them.  Determine if you want to assign a new item in the learning plan and also update the learning history for an item with new Item Id or Item Type to those users. There are many other reports that LMS Admin can run, and these are covered in below Knowledge articles.
  1.  Investigate if the existing Item is part of any Curricula and determine if you want to replace the old item with new one in all those curricula. You can run Curricula Data report to find out this - Running a "Curricula Data" Report
  1. There is also possibility of change in required date (due date) of courses as a result of assigning new item with new assignment date. The required dates then need to be changed manually using Required Date Editor tool.
  1. When you are ready with all your decisions, raise a request to HR System Team - https://desk.zoho.com/portal/broadspectrumhrs/newticket
  1. In the description mention below details:
  1. Existing Item Id and Item Type and New Item Id and/or Item Type
  2. If you want to modify other details as well, fill attached template and highlight the fields where you need the changes
  3. Mention the Curricula Id/s where you want to replace your old item with new one
  4. Mention if you want to assign new item to user’s learning plan to whom existing item had been assigned
  5. Mention if you want to update the existing Learning History for new Item. We will set Substitute credit rule for new item to copy the learning history from old item
