There are various notifications set up in LMS that are related to class enrolment and learning assignment/expiration events. The attached sheet includes the details of all the notifications configured in system along with their template Ids.
This KBA explains the steps on how to update changes in the notification if there is any request to make modifications in the subject, body, attachment, formatting etc. of these notifications.
Note: These notification templates are standard and are used to trigger notifications across organisation i.e. the modifications requested for specific sector/contract/location/user group etc. should not be included in these templates. Such requests can be handled by creating separate custom notifications and mapping them to the required classes/items.
Pre-requisites: LMS Admin Access to edit email notification template.
Steps:
1. Log in to SF and select Learning Administration
2. Select System Administration --> Manage Email --> Email Notification Templates
3. Enter the Template Id where the changes need to be done. E.g. SystemEnrollmentNotification. Then click change button.
4. Click Messages tab and Launch Editor link
5. You can update notification subject and body text, format the text, update tokens. You can add tables, urls, pictures as well.
6. Once you update the changes, click Save button at the bottom of editor. You can then click "Send Preview" button which will trigger the notification to your email and you can see how the updated notification will look like to end users.
7. Once you are happy with the changes, copy the source text and paste it into English UK language source text area.
Click Save and Send Preview to validate changes.
8. If there is a requirement to attach any document to the notification, you can do so by going to Attachment tab. Enter Attachment ID, Description and browse the file. Click Add.
